Steps to export a Meeting Maker calendar and import into Google.

There is no straight way to take a Meeting Maker calendar (MM cal) and import it into Google (gCal). We have to convert the MM cal into a format called ics and import that into gCal. The steps below detail how to make the conversion of any calendar in MM.

Sections 1 and 2 require a Macintosh running OS X to complete. However anyone can convert anyone else's calendar IF they have read only access. If you want me to help you upload it, I will convert your calendar and send you the .ics file. You would pick up the directions again at Section 3.

Meeting Maker

Tools Required.

You will need:

Select the Calendar.

As long as you have read access, we can pull the MM cal and get ready for import. Also, unless you really need a recurring event, remove it prior to going any further. During the conversion, recurring events will be converted into individual events.

Export the calendar to a Text File.

The first conversion process needs the file as a text file. An astute observer might notice "hey there is already an export to ical". Very good observer, however that only works event by event. So unless you want to do it for every single event stick with me.

Date Range

MMcal can export any range. I went from Jan 1, 2005 -> Dec 31, 2007. The longer the range, the longer the conversion, but so far, it looks like any range will work.

Save the file

Name it something unique and somewhere you can find it later.

Apple and iCal

Start the MM to iCal Application

Go ahead and give 'er a double click

Process the Text File

There really isn't a lot of options in processing. I would recommend leaving them alone and clicking import data.

Select the file and click Choose.

Import into iCal

The MM to iCal script does just that. It takes the export we did above and imports it into iCal as a new calendar called Meeting Maker. The name of the calendar is not configurable, but that's okay we aren't staying in iCal anyway. Once the calendar is uploaded into iCal you can confirm that the events look okay and add/remove adjust if needed.

Export to ICS

In the file menu select export.

Google's Calendar

Login to Google Calendar

Login to your Google domain calendar (http://calendar.copperisd.org, http://mygoogle.copperisd.org, http://calendar.remc1.org, or other)

Manage Calendars

All the magic is going to happen in the manage calendars section on the left. Click on the down arrow to either create a new calendar or import a calendar. 10.png

(Optional) Create New Calendar

In the management section you will see all the calendars you can manage. If you look above Mike's calendar is not listed in my manageable section. I can view his calendar but I can not manage it.

When you import your old Meeting Maker events into Google Calendar, you can either choose to import them into a new calendar (bit more conservative) and move events into your main calendar at your leisure, or you can move them right into your main calendar immediately. Choice is yours.

To create a new calendar click on "Create New Calendar"

Name it what you want, give it whatever description, and click save at the bottom.

Import Calendar

Now we are ready to take the ics file from the meeting maker export and import it into gCal. Click on the down arrow by your calendars and click import calendar.

Browse to the file and click open.

Here's the critical part. Choose which calender you want to import those events into. If you did the optional create new calendar step, choose that calendar. If you want to place those events immediately into your main calendar, chose that one.

CHOOSE CAREFULLY! THERE IS NO UNDO!

Click Import.
